Plus Company, and its Canadian subsidiaries (“Plus Company”) is committed to protecting your privacy.

This Privacy Notice is important. It describes how we collect, use, disclose and protect Personal Information about you, including when you submit personal information for purposes of applying for and/or becoming a valued employee at Plus Company, and in the course of your employment with us. In short, we use the information that you provide us to (among other things) retain you as an employee and to maintain employment records.

Please review this Notice periodically.  You should read this entire Notice before submitting information, including personal information, to us in any form. Whenever you submit personal information to us, we assume that you authorize the use, disclosure, transfer, and storage of that information in accordance with this Notice.

What is personal information?

Personal information is information that can be used to identify you directly or indirectly, either on its own or in combination with other information. Examples include your name, contact details, social insurance number, and information relating to your job performance.

We may make full use of all information that is de-identified, aggregated, or otherwise not in personally identifiable form.

What personal information do we collect and why?

We collect personal information from you when you choose to voluntarily provide it for purposes of employment with us or applying for employment with us.

We may also collect information from other party sources, such as service providers, background checks, publicly available information, and other companies and referrals, as permitted under applicable laws.

If you are an employee, we collect information about you through the company browser, computer hardware and software.

When do we collect it?

  • When you apply for an employee position and/or when you join our company as an employee.
  • When you join our company as an employee.
  • When you apply for an employee position and/or when you join our company as an employee.
  • When you use work-provided computer and cell phone and visit our premises.

What information do we collect?

  • Information contained in your application (CV, relevant experience, contact details)
    Results of background checks (where applicable)
  • Personal Identifiers
    Name, signature, mailing address, telephone number, email address, date of birth, and financial information including bank account and routing number.
  • Identifying Information photographs and video.
  • Sensitive Personal Information
    Personal identification numbers, including social security, driver’s license, passport, or ID card numbers; account or debit or credit card numbers; race or ethnic origin, or union membership; gender identification; sexual orientation; disability status; citizenship status; and mental or physical health diagnosis.
  • Internet/ Network/ Technology Activity IP addresses; Audio and video monitoring
    Device information, IP address, device ID, browser type, domain names, access times and dates, number of clicks, pages viewed, one or more cookies that may uniquely identify your browser, and referring website addresses, webpages visited, time spent on webpages, links clicked, and location information.

Why do we need it?

  • To evaluate job candidacy, perform background checks (when appropriate) and communicate with you regarding your application.
  • To facilitate the employment relationship, including for processing of payroll and benefits (including family health benefits), and other internal business needs.
  • To maintain internal business employment records; administration of compensation and benefits financial records including paystubs and payment methods.
  • To provide you with employee benefits.
  • To authenticate your account credentials and identify you, as necessary to log you in and/or ensure the security of your time keeping account.
  • To comply with our policies, procedures, and legal obligations, including complying with law enforcement or governmental authority requests, investigating fraudulent activity, resolving disputes, and enforcing our legal agreements and policies.
  • To ensure compliance with internal HR policies.
  • To assert or defend legal rights or address legal claims and proceedings.

If we want to use your personal information for purposes that are not indicated above, we will ask for your permission, unless a legal exception applies.

With whom do we share your personal information?

We may share personal information to the following categories of third parties:

Category: Service providers, consultants, and contractors

In what context? We retain them to help us provide payroll and benefits, communicate with you, host our website and data, for talent management and for security and fraud detection purposes. They have agreed to keep the information confidential and use it only to provide the applicable services.

Category: Governmental agencies and related third parties

In what context? If required to do so by law, regulation or court order; to respond to governmental and/or law enforcement requests, to identify, contact or bring legal action against someone who may be causing injury to or interfering with our (or others’) rights or property, to support any actual or threatened claim, defense or declaration in a case or before any jurisdictional and/or administrative authority, arbitration or mediation panel, or in connection with disciplinary actions/investigations.

Category: An acquirer or successor-in-interest

In what context? In the event of a reorganization, merger, sale, change of control, consolidation, joint venture, assignment, transfer or other disposition of all or any part of Plus Company or its affiliates including any negotiation thereof.

Where do we keep your personal information?

We currently store personal information in a secure database.

We may disclose personal information in locations other than your country, province of residence, where privacy laws may differ.

If your personal information is used outside your country, province of residence, it is subject to the laws of the place where it is located and may be disclosed to the governments, courts, law enforcement agencies or regulatory bodies of that place, or disclosed in accordance with the laws of that place. However, our practices regarding your personal information will continue to be governed by this policy and applicable privacy laws.

How long do we keep your personal information?

We will keep your personal information for as long as it is necessary for the purposes set out in this Notice and to the extent necessary to comply with our legal obligations (for example, if we are required to retain your personal information to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

How do we protect your personal information?

We take reasonable and appropriate measures to prevent the loss, misuse, unauthorized disclosure, alteration or destruction of personal information during transmission and storage. However, no security system is infallible, and Internet transmission is not perfectly secure or error-free.

We use a secure server. Only authorized persons have access to this information, and they are required to keep it strictly confidential.

What are your privacy rights?

As an employee, you have several privacy rights regarding the personal information we hold about you, including the following: Right of access and correction
  • You may request access to and copies of the personal information we hold about you.
  • If any personal Information about you is inaccurate, incomplete or misleading, or if its collection, communication or retention is not authorized by law, you may request that it be rectified.
  • You may also ask us for information about the source of your personal information (if it was not obtained from you), as well as the names of the people who have access to your information and details of how long it is kept.
Right to withdraw your consent
  • You may ask to withdraw your consent to our use or disclosure of your personal information.
  • In some cases, withdrawing your consent means that we may not be able to maintain your employment relationship or offer you certain services. Otherwise, we will inform you of the consequences of refusal in our request for consent.
To exercise your rights, please send a written request, together with proof of identity, to our Privacy Officer at the contact details given in the How to reach us? section. Once we have received your request, we will respond in writing within 30 days of receipt. Note that several exceptions may apply. These exceptions may be related to our obligation to comply with any legal obligations, including maintaining proper employee records, or maintaining privilege or confidentiality of certain records, in compliance with applicable Canadian labour laws and legal rights.
